We have already shared a little preview on LinkedIn, and things are becoming more and more concrete. The new version of EGroupware will be available soon.
A newly structured interface makes working with the tools even more efficient. The underlying framework has also been thoroughly overhauled by our developers. What remains unchanged: EGroupware remains flexibly customizable and EGroupware remains open source software.
New Toolbox – all apps in one place
Files, appointments, contacts, projects? Starting with the new version, all apps are located in the Toolbox. With just one click, you can open even those apps that you don’t use all the time. And with the new version, this is also much faster on mobile devices. No more long searches or scrolling.
Want to customize EGroupware? Customizing is that easy
Should the new version be colorful or classic? Individual or uniform? Dark or light? You know best what suits your organization.
Customization options via settings and configurations:

New version numbers
Further details: With the new version, we will be changing the version names. Until now, new version numbers were only assigned to major releases. Smaller releases and updates were “lost in the shuffle.”
From now on, we want to ensure greater transparency and continuously update the version numbers. The numbering will be based on the year and month of release—for example, “25.11” for a package update created in November 2025.

How clever is that? EGroupware at Hexapilots and PersCom
Our users employ EGroupware in such diverse ways. Optimized for a drone flight service provider and “invisible” for a personnel services company. You can find both user reports in our news section (German language):

We are sharing the user reports here because there are bound to be some clever uses that will give you new ideas. Perhaps this will open up another area of application for EGroupware, allowing you to map a new process or optimize further workflows.
EGroupware wins techconsult (Heise Group) survey
We are delighted to announce that EGroupware scored very well in techconsult’s Professional User Rating 2025 in the “Cloud Business Solutions” category. The survey assessed authentic user experiences with various SaaS solutions.
In the “Service and Support” categorie, we took first place as a “cloud customer relationship management” and “DACH cloud collaboration tool”. EGroupware was also the solution rated highest by users in the “Return on Investment” and “Functions” categories among DACH cloud collaboration tools.
What else are working on? Accessibility and AI
Apart from the new version, the integration of AI and the optimization of accessibility are on our roadmap.
For artificial intelligence, we rely on proven open source AI platforms such as F13 or Synaplan, on which we build conceptually.
In the first step, the data from the EGroupware applications is made available within EGroupware via a “RAG knowledge database” and a “semantic search.”
The knowledge database is filled in a modern way as a vector database (MariaDB-based) per instance. It thus runs on our database cluster in the EGroupware Cloud or locally in our own data center.
The “semantic search” analyzes the context of words, uses synonyms and relationships, and takes context into account. The AI search engine thus delivers relevant results even if the exact wording does not match.
In addition, we rely on text bots that can be used to rephrase or translate texts, for example when writing an email. These will be available for all text or HTML fields.
In general, we plan to use large language models (LLMs), but not to retrain these models with user data. Our focus is on data protection and sovereignty. All EGroupware AI functions will run at IONOS in German data centers, unless you choose otherwise. In addition, there are operating options within your own infrastructure (on premises).
In our case, better accessibility means, for example, that people with visual impairments can use the software more easily. We have already implemented a number of measures in the interests of inclusion and equal opportunities, for example
Option to set large font sizes or use the scaling factor in the browser.
Consistent use of navigation elements for screen readers and ARIA attributes. These attributes help screen readers and other assistive technologies to interpret content correctly, making applications more accessible.
We are currently still working on optimizing the list views.
