Manage documents centrally: The file server

A working group usually uses dozens, often even hundreds of documents for each project – from text documents to tables, presentations, images and PDF files to videos and industry-specific document formats.

Always access to the current files

EGroupware manages all these documents transparently via the integrated file manager. Every member of your work group always has access to the current data. This eliminates the time-consuming process of sending data by email and minimises sources of errors in data organisation (duplicates, working with outdated files).

Access your folders and files at any time

With intelligent features, EGroupware makes your daily work easier day after day: access folders and files in your network at any time; assign rights for access to public and private folders; create order with your individual list of favourites; move files simply by drag-and-drop or use the clever file manager upload widget.

Access and sync for mobile devices

The EGroupware file manager facilitates cooperation with colleagues and external partners. Send large files or access to a folder via a sharing link, thus obtaining a data exchange directory in which external parties can also upload files again.

Sending files via sharing links

Files and folders can be shared. Sharing links are sent directly by e-mail or the link can be passed on as desired. Validity period and password secure the sharing. This also enables the sending of large files that cannot otherwise be sent by e-mail.
In conjunction with a Collabora Online, external users can also edit documents.

A hidden upload allows documents to be collected without anyone other than the person sharing the files seeing them. Important, for example, in educational institutions for homework.

Internal file exchange via file sharing

The internal exchange of data or the provision of shared folders can, in addition to group folders and file/folder permissions, also be solved by users themselves through file/folder sharing. And this without the otherwise necessary support of an administrator.

Freely given files/folders can be integrated by the user into their personal folder and thus be used permanently.

Notifications for file changes

The EGroupware message system informs you about every change to files and folders on request. As soon as documents are changed, deleted, edited or added, you and your team members automatically receive a notification via pop-up window or email.

You can integrate external employees, customers and service providers into the workflow by automatically sending them an email message with information about a file change and the corresponding file as an attachment.

Versioning and delete protection

If desired, the EGroupware file manager automatically archives old file versions in the background, so that accidentally overwriting or deleting a file loses its horror. Simply return to a previous version at any time. This additional security prevents useless multiple efforts and provides your employees with security.

Integrating SMB or NAS drives

External drives/shares can be integrated into the EGroupware file manager. These can be SMB (Windows, Linux, NAS), FTP, local directories or WebDAV shares. For example, departmental drives or users’ “own files” can be mounted in EGroupware and thus made flexibly accessible.

EGroupware thus offers access to otherwise “externally” inaccessible company drives via a secure connection using 2-factor authentication.

Mount EGroupware files as a drive (via WebDAV)

With EGroupware you can easily manage your files via browser. In addition, you have the option of accessing your folders and files with the file explorer (Windows) or Finder (Mac OS) on the basis of the WebDAV protocol. Either mount the EGroupware file manager as a local drive or synchronise a local directory with the file manager. In both cases, there is practically no need for you and your employees to get used to the system.
