Selecting recipients from the addressbook


To input one or more recipients in To, Copy or Blind copy in compose messages simply click on in the top line. Similarly to the main address book screen (however, the list only includes contact name, company, business and private email) a new window opens up with search function and table/list:

  • Above the navigation bar:
    • To the left of the selection button To, Copy or Blind copy: Use to specify the type of recipient. This selection applies to all addresses included below! If you want to enter the recipient in the ‘To’ and ‘Copy’ lines, you must select these one after the other separately.
    • Middle: Displays the number of indicated contacts from the total number of existing contacts.
    • Right [Advanced search] and [Add] buttons: To use the advanced search or to add a new contact.
  • Navigation bar with selection criteria (all combinable) and search function:
    • Arrows to scroll the list.
    • Select Category:
      • All: shows the entire addressbook.
      • Category = (e.g. client, marketing department, sales region, etc.) Displays addresses from the pre-selected category only.
      • None: Shows only addresses without category.
    • Addressbook: select an addressbook:
      • All: Displays all contacts from all address books to which you have access rights.
      • Personal: Displays all contacts saved in your personal address book.
      • Users ...: Displays all contacts from a colleague’s personal address book, if that person has granted you the necessary access privileges.
      • Group ...: Displays all contact from the respective group address book.
      • User accounts: Displays all existing users in the system.
      • Private: Displays all contacts flagged as private in the old version.
    • (Distribution lis)?: Use to select an existing distribution list e.g. for a serial email.
    • Search for a contact according to (text / individual details): Default @ to email address selection (e.g. only contacts which have provided an address will be displayed). Of course, you can modify or amend the search text, e.g. name@company.de
    • Selection box number: Use to modify the number of contacts shown.
  • Select line with letters [A] - [Z] or [all]:
    Starting with version 1.4 a letter search can be combined with other search or filter criteria.
    • Letters [A] - [Z]: Depending on the Sort selected all contacts in this field which begin with the respective letter are shown. That is, for a sort according to name and the letter [S] only contacts whose last name begins with the letter [S] will be displayed. Accordingly, a sort according to organisation and the letter [S] will show all contacts whose organisation name begins with the letter [S].
    • [All]: Shows all contacts.

Once you click/activate [Search] the list will appear with the preselected addresses. The list offers you the possibility to edit contacts with the icon or delete with the icon (Important: In the process you will also delete entries from your normal address book!!!).

Select the desired contacts by checking them off . Subsequently, set the selection box at the end of the page to add business email or add private email and your email addresses will be added. You will find each address in a new line so that you may be able to change the type of recipient at a later date.
